Choose a workflow#
This chapter helps you organise a larger task and prepare a repeatable workflow. First decide whether you need sources from another service, an app to build or work that runs in the background. Projects, workspaces, memory and automations describe different things.
The interface procedures below come from public documentation. They were not tested in a signed-in Slovak account. If a control is missing, check the platform, plan and permissions first; it may not be a problem with your prompt.
Memory, instructions and repeatable methods#
Choose by what needs to persist between tasks. Saved text, an account connection and a scheduled run serve different purposes.
| I need to preserve… | Use | Check |
|---|---|---|
| My language and style | Custom instructions; memory if offered by the account | What is actually stored and how to correct it. |
| Materials and decisions | A project or your own handover document | Whether the new conversation received the correct materials. |
| Access to current information | A connector | The correct account, allowed operations and reading scope. |
| A reliable method | A skill or saved template | Inputs, rules, validation and output format. |
| A recurring start | An automation; a routine in Bot | Owner, time zone, status and the last actual run. |
Memory availability and controls can vary by account. The privacy chapter explains memory, training and history.
Returning to unfinished work
Prepare a short handover for a new conversation: the goal, confirmed facts with links to materials, decisions made, open questions and one next step. Do not add information we have not verified. Include the source version and date.
Read the handover before using it in a new conversation. A summary can omit an exception; keep the important original document as a source.
Projects, library and writing canvas#
For one creative series, prepare a name, goal and visual rules. If Projects is available, keep related work together; use the library to find outputs again. Verify the result by reopening the saved image and checking its version. Organisation does not automatically imply shared memory across all chats.
If the writing canvas is unavailable, ask for a change to a named paragraph and paste it into your own editor. You can continue without guessing a button name.
Edit only the “Next steps” section of this text. Preserve dates and owners. Show the revised paragraph, then briefly list what changed. Source text: [text].
Connect one source you need#
Follow the connection steps in Tools and connectors. For an organisational source, confirm access with your administrator. Start with a small reading task and open one returned source. For SharePoint, use Disconnect to remove the connection; access can also be revoked in your Microsoft account.
Find tomorrow’s meetings in my connected calendar. Give the time, title and link. Do not create, edit or send anything. If you cannot read a calendar, identify it.
An empty result may mean the wrong account, insufficient permissions or missing organisational approval. First check access to the same record directly in its source service.
Prepare and test an automation#
First follow the automation setup steps. Prepare your own instructions for a recurring overview, then compare the test result with your calendar.
Every weekday at 08:00 Europe/Bratislava, find today’s meetings in my connected calendar. Produce a short overview with links and flag time conflicts. Do not create invitations or send messages. If the source fails, report the error instead of inventing a schedule.
This is a sample instruction, not an active automation. If the test fails, check source connections, permissions and timezone. Edit or pause it when the project changes; correcting one output does not necessarily change its saved instructions.
A scheduled automation can run while you are away. Closing a chat does not pause a saved automation; check its status in the automation controls.
Personal and team workspaces#
Select the correct workspace before adding a business document. If the team workspace is missing, contact the licence administrator. Team-workspace documentation limits shared conversations to members with active licences; do not confuse this with a public link from a personal chat.
Recommended check: create a conversation without sensitive data, share it with an authorised colleague and verify access. A company name in the interface does not by itself confirm a retention period or EU data residency.
Build: an app or a coding project#
For your first attempt, request a small app with one clear outcome. Test input, empty states and phone use. Before publishing, check the link’s audience, content and any data the app transmits.
Create a simple break planner. The user enters work and break durations, starts a timer and can pause it. Make it usable on mobile and with a keyboard. It needs no account, payments or AI connection. First prepare a preview for review.
For an existing coding project, first save your working state in version control. After following the official installation guide, open the project directory and run grok. Ask for an explanation of the project, then a small change with a reviewable diff and test. We have not installed the tool or changed a project as part of this guide.
Bot: work on a cloud computer#
The official getting-started guide uses a Cursor sign-in and, depending on the subscription, a linked Grok account. After installing from the official site, the app sets up your first Bot on first use; give it one job. Connect only the service it needs. Confirm current access eligibility before buying a plan.
Use the public pages for these three events [links] to compare dates, location and admission prices. Include a source and check time for each detail. Save the result as a table. Do not book or buy anything. List anything you could not verify.
Check the result in both the conversation and the saved file. For mail or account work, request a draft before sending. Closing the window is not a way to stop work.
Find the complete workflow in the Grok Bot chapter: start by checking access, prepare a clear brief and move to recurring work only after checking one task.
